Cascade Tracktime Policies

 

Billing and Payment

We have a lot of flexibility when it comes to paying for your event and handling cancellations or transfers. That being said, we do have rules that we and you stick to.

Cascade Tracktime accepts Visa, Mastercard, Discover, American Express, personal checks, and cash. Credit card payments may be made though our secure website. Advance payment required for all events to guarantee a spot for the event. Cascade Tracktime events run RAIN or SHINE, unless the track deems it unsafe to hold an event (In this extreme case, 100% credit will be issued).

 

Rain Policy

Sometimes it rains. What more can we say? We do our best to order up perfect weather for each of our events. Sometimes it works and sometimes it doesn't. At Cascade Tracktime we ride rain or shine. If the track considers the day safe to ride, we ride. In the unlikely event that the entire event is cancelled, a full credit for an upcoming event or service will be issued to your account. No shows or cancellations within 3 days of the event will result in 100% forfeiture of payment.

 

Waitlist

Event sold out but you really want to go? Add yourself to the waitlist and you might still get in!

For safety reasons we limit the number of riders on the track at any one time, which means that events do become sold out. We do maintain a waitlist for groups at events that are sold out.

If you're interested in attending an event that is sold out, you should click on the "Add me to the waitlist" button. You will go through our regular checkout process with a $0 order.

If a spot becomes available for you, we will automatically activate your reservation and send you an email letting you know that you should plan to attend. Our regular cancellation policy applies.

Therefore, if you add yourself to the waitlist for an event and then change your mind later, you should cancel your waitlist reservation through your account here at cascadetracktime.com

 

Refunds

We do not give refunds. Cascade Tracktime events run RAIN or SHINE, unless the track deems it unsafe to hold an event (In this extreme case, 100% credit will be issued). Advance payment required for all events to guarantee a spot for the event. Cancellations prior to 10 days of the event will be issued full credit for use at another Cascade Tracktime event or service. Cancellations prior to 3 days of the event will be issued 50% credit for use at another Cascade Tracktime event or service. Cancellations within 3 days of the event are subject to forfeiture for that event.

Registrations and payments within 14 days of the event are subject to a $16 late payment/registration fee, so book early. Full payment is required to guarantee a spot. Walk-ups may be available and are subject to an additional $10 charge at the track, so once again, book early. Reservations may be transferred to another individual if you are unable to attend (must follow our cancellation policy). Contact us should you have any questions.

Cancellations prior to 3 days of the event will be issued 50% credit for use at another Cascade Tracktime event or service. Cancellations within 3 days of the event are subject to forfeiture for that event.

Event Payment
Registrations and payments within 14 days of the event are subject to a $16 late payment/registration fee, so book early. Full payment is required to guarantee a spot. Walk-ups may be available and are subject to an additional $10 charge at the track, so once again, book early.

Transfers
Reservations may be transferred to another individual if you are unable to attend (must be in accordance with our cancellation policies). Reservations within 3 days of the event are non-transferrable. Reservations transferred within 10 days and before 3 days of the event result in a 50% transfer of the monies paid. Outside of 10 days of the event 100% of the monies paid may be transferred.

Mandatory Riders Meeting

The Riders Meeting is a key part of participating in a safe event. As the heading suggests, this meeting is mandatory. If you miss this meeting you may not be able to participate in the track events for the remainder of the day barring any extreme circumstances. We will discuss key safety issues, track etiquette, and flags. If you absolutely cannot arrive at the track in time for the rider's meeting, please make arrangements in advance or tell a pit mate to inform us. We do not like surprises like having to conduct multiple rider's meetings.

 

Privacy Policy

The only thing more important to us than your safety on the track is your privacy online. Cascade Tracktime will never, ever intentionally share information you give us with any third party.

  • We store your credit card info only until we successfully charge it. The card number is then deleted from our system. While it is stored on our system it is encrypted via GPG and is never written to disk "in the clear".
  • We do not share your personal information with anyone else
  • We may occasionally (very occasionally) send you an email letting you know about an upcoming track day. We will always provide you with the ability to unsubscribe from these emails easily.
  • We gather statistical information about usage of our site and how you got here. These statistics are aggregates and are not associated with individuals.

Note: We may share some of your contact information with our trackside vendors if and only if you bought something from them AND they're having a hard time billing you AND they need to contact you. For example, if you buy tires but for some reason they can't run your credit card, we'll give them your phone number or email address so they can contact you.
